The St Monica Trust – Opera 3 & KCPOS Case Study

The St Monica Trust provides accommodation, care and support for older and disabled people in Bristol and surrounding counties. It specialises in pioneering accommodation solutions that enable residents to enjoy and maintain their independence. A not-for-profit organisation, the Trust employs more than 1,000 people dedicated to providing high-quality accommodation and care for older people, including residents funded by social services. Today, with award-winning village accommodation, care homes, specialist short term care facilities, domiciliary care and dedicated dementia facilities, the charity is a vibrant, innovative organisation. Its services promote independence, dignity and fulfilment for more than 1,000 residents and the Trust regularly sets benchmarks for the very best practice in the care and support of older people.

 

 

Janet Brandon, Management Accountant said “We identified AMA after visiting the Pegasus website and found AMA listed as a local company that supported Opera.  We particularly noted that AMA were listed by Pegasus as giving a “gold” standard support level.  We met with Alastair and were impressed by his depth of knowledge and what appeared to be a “can do” approach to developing our use of Opera.

Since working with AMA, we have continued to be impressed by their knowledge of the system and have been able to significantly develop our use of Opera.  We have upgraded to Opera 3, and are now using many more features and modules available in Opera.  Additional modules that AMA have helped us to develop and use include invoicing, direct debits, PIR and document manager.

Also, whenever we have had issues arise, AMA have been flexible and quick to respond, particularly where issues may have been business critical.  They are also willing to help us get the best from our accounting package without always trying to sell training just to explain how to do things a little more effectively.  It feels like we can just pick up the phone and get an answer quickly where possible or know that any queries will be dealt with in as timely a basis as possible.

When we decided to implement an electronic point of sale system into our restaurants, we spoke to AMA about KCPOS as this was the EPOS system that they supported.  KCPOS was a straightforward system that delivered all of our requirements and we selected this system over other EPOS systems that we looked at.  It was also reassuring that AMA had previously worked to integrate this system with Opera for other customers of theirs.  AMA worked very flexibly to develop bespoke solutions to enable us to integrate KCPOS and Opera so that residents could be billed on a monthly basis for credit sales.  This replaced what had previously been an entirely manual and paper based recording and invoicing system.  This has enabled us to gain efficiencies in staff time preparing the invoicing and presents a far more professional approach to residents.

Overall, we now feel that we have an accounting and EPOS system that we can rely on and that we can be confident that any problems that may arise will be resolved.  Moreover we are also now able to make developments to the way that we use Opera knowing that help and support is on hand if we need it.”
