EPOS Case Study

The Donkey SanctuaryImage

The Donkey Sanctuary headquarters are just outside Sidmouth, Devon and are home to over 400 of the 2,000 rescued and unwanted donkeys in its care at its various farms throughout the UK and Ireland. The Donkey Sanctuary has taken over 12,000 donkeys into its care since it was founded by Dr Elisabeth D Svendsen, MBE in 1969 and registered as a charity in 1973.

Judy Woolley (Management Accountant) says:

“We have been using two EPOS tills in our Visitors’ Centre for over 5 years and have found them to be very reliable and easy to use. As we employ seasonal staff to cover the busy summer months it was essential to have tills which would be quick and simple to operate and the  EPOS system certainly fulfils our needs.

ImageTogether with software for producing our own bar codes and the scanners attached to the tills the complete system helps our Visitors Centre staff serve the hundreds of daily visitors to The Donkey Sanctuary.

Our Paypoint EPOS system is integrated with Pegasus Opera accounting system which enables us to maintain the 200+ products within the Accounts Department and download product additions/amendments without disruption to the Visitors Centre. It also gives us the ability to produce weekly sales and stock management reports through our accounting software.

On the rare occasions that we have needed assistance AMA helpdesk staff have been both efficient and knowledgeable with problems being rectified promptly and effectively by offering advice or using remote access if we are unable to solve the problem ourselves.”

Horseworld

HorseWorld is the leading UK charity caring primarily for horses, ponies and donkeys.  They rescue, rehabilitate and rehome animals who have been abandoned, neglected or ill-treated. Image

HorseWorld's Visitor Centre in Bristol is a great place to meet the rescued horses and to see the work of the charity in action.

Sharon Crewe, Visitor Centre Co-ordinator has received this quote from Henry and Tyler (opposite)

"HorseWorld are happy to endorse AMA.  The EPOS till system is reliable and meets the needs of the Visitor Centre and its staff.  Any problems that I have had are quickly rectified by AMA staff, who are very knowledgeable.  Most things can be resolved by remote access same day".

AMA Business Systems provided the PayPoint EPoS system to integrate with Hereford Cathedral's Pegasus Opera Accounting System.

This has allowed for extensive stock management facilities, as the software reads product descriptions & price details from the stock files and automatically updates the Opera back office accounts system after every sale.

Alison Chambers, Hereford Cathedral Shop Manager says:

"At the cathedral shop we have hundreds of changing product lines, from badges to Welsh Gold but have never been able to consistently and accurately track the stock.

With most of the staff being here on a voluntary basis, we needed a system that would be simple to operate and give us total visibility and control over stock movements.  PayPoint was the ideal choice due to its high level of flexibility and its ability to link with our existing stock management system; the fact that orders for PayPoint from Ely, Chichester, Worcester and Salisbury Cathedrals had already been placed, reinforced my decision.

Other packages required too much bespoke work to create the link to our accounting package, and would have meant us having separate systems. As a charitable organisation, cost is obviously an important factor, so the option of a leasing scheme was an added attraction. And we are confident that AMA Business Systems can provide us with all the local support, training and any customisation we may require."

Bristol Flying CentreImage

Bristol Flying Centre was founded by CEO Martin Barnes in 1987. Today, it attracts students from all over the world, mainly through word-of-mouth recommendation.

Financial Director Michael Black says:

With the help of Sage Business Partner AMA Business Systems Ltd, Bristol Flying Centre installed a Sage Retail solution with two touch-screens ‘front-of-house’ for customers’ use. These were linked to a back-office Sage Line 50 Financial Controller. Michael recalls,

“We knew we wanted something special,..... and AMA worked closely with us to develop a solution which perfectly fitted the business........With AMA’s support, we’ve already amply achieved our initial objectives and our Sage retail solution lends itself to many exciting possibilities for the future.”
